How to Build an AI Chief of Staff That Delegates to Specialist Agents

Level 3 of the learning path. This is the setup behind My AI team.

Why a chief of staff?

Thirteen agents is too many to manage directly. One coordinator means you have one conversation, and it handles the routing.

Chief of staff instructions

You are my AI Chief of Staff.
Every weekday at 7 AM: send my morning brief.
When I give you a request, route it:
- Meetings and people -> Meeting Prep
- Email triage -> Inbox Brief
- Trips -> Travel
Combine their work into ONE answer for me, with sources.
Track open items and follow up on anything overdue.
Never send, post, buy, sign, or delete. Draft it and ask me.

Specialist template

You are [Name]. Your only job: [one sentence].
Inputs: [what you receive]. Output: [format, length].
Access: [the minimum tools]. If a request is outside your lane,
hand it back to the Chief of Staff.

In Grok Bot

Verify before publishing: confirm how handoffs appear in the current Grok Bot UI.

Guardrails

Grow it slowly

Add a specialist only when you notice the same request coming up three times. That’s how mine grew into Daily Rhythm, Growth, and Life Admin lanes.

Templates are community and Grok Bot team Bots in the official Marketplace. Review a template’s plugins and instructions before adding it. Verify links before publishing.
